Prior to restoring data into MyCase the following items should be cleaned up in your legacy system.
When activities are transferred to MyCase, the duration of all entries will be rounded up to the nearest 0.1 hours. This means that if you have a time entry for 0.14792 hours, it will be recorded in MyCase as 0.2 hours.
When the values are transferred, in the event that the MyCase Duration * Rate is not equal to the total billable value for the time entry, the duration and hourly rate will be adjusted such that the billable value of the time entry is preserved. This will often display as "1 Hour * Total = Total". If you do not want these adjustments to be made, please adjust your activities prior to the migration so that "Rate * Duration = Total".
In MyCase, all time and expenses must be linked to a matter. Any activities not linked to a matter will not be transferred.
If you have activities with no matter that you want to transfer to MyCase, create a matter named "CATCHALL MATTER" in your legacy system and assign these activities to this matter.
In MyCase, all activities must have a bill rate that is $0 or more. If your firm has time or expenses with no value or negative value (perhaps representing a discount), they should be adjusted in your legacy system prior to your migration or they will not be transferred.
In MyCase, all time entries must have at least .05 hours assigned to them. Any time entries with no time or zero time will not be transferred to MyCase. Prior to your migration to MyCase, please review all time entries that you want to transfer and ensure that they all have at least .05 hours allocated to them.
In order to restore time and expense activities the user you sign in as must be the originating attorney for at least one matter. Prior to the migration use the sample matter that is created in MyCase by default and make the user the originating attorney prior to starting the data restore.
Often times there are inactive users in your legacy system. When transferring to MyCase, historical users will be consolidated into active users. This means that time/expenses created by former employees will appear as if created by a current employee. You should provide your migration specialist a spreadsheet similar to the following:
Legacy User | MyCase User | Notes |
John@SmithLaw.com | John@SmithLaw.com | (No Change) |
Jane@SmithLaw.com | Paralegal@SmithLaw.com | |
Kim@SmithLaw.com | Paralegal@SmithLaw.com |
Once the data restore is complete, any activities that were created by Jane or Kim will appear as having been created by Paralegal.
