ProLaw Backups: Preparing Companies for Backup

Merge Duplicate Companies

In order to prepare your companies for backup, duplicate companies should be merged.  To do this, go to Contacts and then click on the '...' icon next to the company field.

Then click the "Company" column header to sort by the company names. If you have any items that are at the top of the list but appear to be out of order, it is because they have a preceding space in their names.  Remove the spaces from their names.

Scroll through the list until you find two companies that are duplicates.

Then select the company you want to keep, click "Merge Companies" and select the other one to merge.

Unify Companies/Contacts with Similar Names

In ProLaw, companies hold very little information whereas contacts can have a great deal of additional information attached to them (phone numbers, addresses, etc).

Because of this, it is quite common for a company to exist as both a Contact record and as a Company record.

In preparation for your backup, you should:

  1. Sort all your contacts by the names
  2. Sort all your companies by their names
  3. Scroll through the list and find entries that are the same entity but have slightly different names.

For example, you might find a company named "SuperCorp, LLC" and a contact named "SuperCorp".  When this happens, you should rename the Contact and the Company so that their names match identically.
