Time Matters Migrations: Preparing Contacts for Export

Removing Empty Contacts

Over the years, it is common for Time Matters to accumulate contacts that contain no information.  These contacts should be removed prior to the migration.

To find and remove these contacts, in Time Matters, go to your contact list and sort by Last Name, First Name, and Ref Name.  When you find an entry that looks empty, delete it.

Merging Duplicate Contacts

Sometimes duplicate contacts will appear in Time Matters.  For example you might have two "John Smith" contacts who are actually the same person, or you may have a "John Smith" and a "John J Smith" who are actually the same person.  Our recommendation is to merge these contacts together into one contact and delete the contact that had the least amount of information.

Properly Naming Companies

Time Matters does not properly track whether a contact is a company or a person and that occasionally results in contacts being created as follows:
Full Name:  SmithCorp LLC
Last Name: LLC
First Name: SmithCorp

Prior to the data restore, companies in Time Matters should be updated to one of the following formats:
Full Name:  SmithCorp LLC
Last Name: <BLANK>
First Name: <BLANK>

Full Name:  SmithCorp LLC
Last Name: <BLANK>
First Name: SmithCorp LLC

Full Name:  SmithCorp LLC
Last Name: SmithCorp LLC
First Name: <BLANK>

Any contact that has a First Name and a Last Name will be restored as a person.  Otherwise, they will be restored as a company.
