Worldox Backups: Backing Up Metadata

This article will assist you in backing up and processing Worldox metadata for the purpose of restoring documents into another system.  Because Worldox is not a SQL-based system, the steps are slightly different.  In order to back up the data, you will need to do the following:

1.  Export Lookup Fields from WDAdimn

All Worldox configurations are unique, however, most have some type of Client/Customer table, some type of Matter/Project table, and either Doc Type/Category and/or Sub-DocType/Category tables.  Your lookup table names might be different but they will likely serve similar purposes.

When exporting child records, they will contain parent record information.  This means you only need to export the Author table, the Matter table and the Sub-DocType table since Matters will contain Clients and Sub-DocTypes will contain DocTypes.  If you don't have Sub-DocTypes, then just backup DocTypes. 

To do this, first open up WDAdmin and click on Field Tables:


 

In the dialog that appears, select the appropriate cabinet and then click the profile attribute that you want to export:

 

Then, click the Show All button then the Export button to save a CSV file.

 

This Process should be repeated for each lookup table that needs to be exported.

 

2.  Export Users

Next, Users will be exported using WDAdmin.  First click the Users button:


In the dialog, that appears, click on Show All.


Then, right-click in the blank column header area and choose Insert Column.


In the submenu that appears, check all columns.


Then click the Print button.


In the dialog that appears, click Print to File and then Print.


Then save this CSV file.

3. Back up Document Metadata

Now that the lookup tables are exported, you need to export the document metadata.  To do this, locate the WDExport executable on your worldox server:

 

Once WDExport is running, you should choose the cabinet you want to export by selecting the Cabinet button.
 


Once the dialog appears, check the box for a single cabinet you want to export and then click Select:



Then click Output To and choose the location you want to save the export to:



Finally, click OK:


 You should now copy all CSV Exports to the Migration Workstation.

 

3. Use Universal Migrator to Process this Data

In the Universal Migrator, run the Universal Backup Utilit for WDExport and you will see a screen like the following:



Uncheck any items that you do not want to import.  Then, click on each tab and provide the appropriate CSV.

After you select a CSV, the combo box drop downs will contain selectable values:



And artificial intelligence will attempt to match column headers in your CSV to the columns needed.

Once this has been reviewed for all tabs, you are ready to backup the data from Worldox and click the Next button.
