How to Set Up Google Workspace Appointment Slots

The following instructions will guide you through setting up G-Suite appointment slots.  The settings shown here are our recommended settings, however, you may adapt them to best fit your organization.

Setting Up G-Suite Appointment Slots

  1. Navigate to the Google finder button > Calendar:




  2. In Google Calendar navigate to Create > Appointment Schedule:






  3. Customize your bookable appointment schedule to fit your availability:





  4. Scheduling window: Select "Available Now". "Maximum time in advance that an appointment can be booked" Select 60 days. Click Next. 




  5. Set up a "General Meeting" bookable appointment. Enter your desired meeting description. Select the desired booking form to be used for General Meeting. Click "Add an item". 






  6. Add an item: Make "Direct/Cell Phone Number" a field for meeting booker to enter. Click "Add item". 


    The reason this is being added as a field (rather than selecting the built-in phone number field) is because, without it, users often put the office's main number (and forget to put their extension) which results in you having to navigate a phone tree.



  7. Set booking email reminders for: 1 day before, 1 hour before and 10 minutes before. Click Save.
